Position Title: Finance Associate Assistant (FAA)

Reports To: International Finance Manager (IFM)

Chalice Liaison's office (LO) is the regional office for Asia located in Chennai hiring a position of Finance Associate Assistant (FAA) based at Chennai.


The Finance Associate Assistant (FAA) supports the International Finance Manager (IFM) and Finance Associate (FA) in fulfilling Chalice’s duty to control the utilization of Chalice’s funds in compliance with the direction and control mandate for Canadian charities, by reviewing the financial statements of Chalice’s sponsor sites (sites) and the supporting documentation to these financial statements. The FA also supports the IFM in improving the financial management of the Chalice India Liaison Office (LO) and sites relating but not limited to budgeting, reporting and best practices. This support includes mentoring and training relevant LO and site staff at the direction of the IFM.

Duties and Responsibilities


-Checks the data integrity of annual financial budgets proposed by the sites, advises the IFM of any issues observed and, when directed by the IFM, communicates, and collaborates with Chalice Canada head office and the sites to resolve the issues.
-Supports the IFM in the development of the International Finance Office’s (IFO) annual plans and projects by providing technical advice or time to work on ad-hoc requests in aid of planning.


-Implements all activities and projects of the IFO set forth in the Strategic Plan and in the Annual Operating Plan, as delegated by the IFM.
-Provides support to the IFM by communicating on, promoting, clarifying, and implementing internal control and financial management best practices in the LO and sites.
-Provides analytics support to the IFM regarding the financial position or performance of the LO and sites.
-Participates, with the direction of the IFM, in advising, mentoring, and training relevant staff at the LO and sites to comply with best practices and improve financial management.
-Checks the financial statements, namely the income, balance sheet, retained earnings and cash flow statements of the overseas sites for completeness and accuracy, verifies them against supporting documentation, and informs or consults the IFM as necessary regarding any observations noted or issues identified.
-Checks the complete and accurate reporting by the site of all individual projects for which restricted or separate funds were provided by Chalice such as but not limited to CPs, HDPs, CNs, DFs, Chalice Children Nutrition, the gift catalogue, Christmas, special money and designated grants.
-Supports the FA in recording financial transactions at the LO, in full compliance with Indian statutory reporting requirements, International Financial Reporting Standards (IFRS), and Chalice guidelines, as applicable.
-Administers the storage and safekeeping of LO financial reports and documents, ensuring compliance with Indian and Canadian document retention regulations.


-Participates in regular or ad-hoc meetings called by the IFM or FA.
-Alerts the IFM and FA immediately of any suspected fraud or major non-compliance at the sites that may be observed or identified during quarterly financial reviews.

o University bachelor’s degree or college certification on business administration or commerce. Concentration in accounting preferred.
o Professional accounting designation is an advantage.
o Good interpersonal skills.
o Excellent oral and written communication skills.
o Expertise in Excel, Word, Powerpoint and other basic office software.
o Working knowledge in accounting software such as Tally, Sage and Quickbooks.
o Team player.

Working Conditions
o Standard working time is 40 hours per week.
o Availability to work beyond standard hours as necessary to discharge duties and responsibilities.
