Position Available


HR & Administrative Officer


The HR & Administrative Officer is responsible for overall human resource and administrative operation of the office including administration strategy and management, management of day-to-day logistic arrangements, office and premises management and procurement, IT and asset management – both programme and non-programme. This position will directly report to the smooth running of the M.A.P office and contribute in driving organisational growth.




  • Coordinate office activities and operations to secure efficiency and compliance to company policies (financial, administrative, human resource and procurement);

  • Contribute to creating safe, productivity-enhancing working spaces for colleagues through improving cleanliness, safety-security and health-sanitation-hygiene standards;

  • Ensure full functionality of M.A.P’s office space at all time (e.g. electricity, utilities, internet, plumbing, pest control, insurance, office set-up);

  • Ensure appropriate level of compliance by all staff for adopting and following administrative policies and procedures, including but not limited to providing timely information and updates and follow up with staff members to make them to fully understand operational policies and processes.

  • Attend to clients and walk-ins, including conducting a preliminary intake;

  • Facilitate casework through tasks including, but not limited to, coordinating with the concerned lawyer/s, assisting in scheduling and maintaining the casework calendar and updating records;

  • Undertake administrative tasks related to internships and recruitment, including but not limited to, making recruitment advertisements and tasks incidental thereto, responding to applications, scheduling interviews and completing on boarding formalities for new interns and recruits;

  • Manage phone calls and correspondence (e-mails, letters, packages);

  • Assist in effective financial management and control through collaboration with HR and finance team and assist in basic financial management and book-keeping duties;

  • Undertake day-to-day office management, including but not limited to, maintaining stationery supplies and allocation records, maintaining leave records, managing pantry expenses, contract management, coordinating timesheet updation, managing official documents, and coordinating with the concerned employees for the same;

  • Collect and negotiate quotations from vendors for procurement purposes as per M.A.P’s guidelines based on requests;

  • Provide necessary logistics support during donor and stakeholder visits;

  • Provide logistics support for various meetings, training and travel undertaken by core team members, field based staff and other stakeholders;

  • Submit timely reports and prepare presentations/proposals as assigned;

  • Undertake general administrative tasks including but not limited to maintaining the asset register, updating the official website, assist in organising conferences, roundtables workshops etc. as maybe required, documenting meetings and events;

  • Maintain office databases and draft office correspondence;and

  • Such other activities as are required to meet M.A.P’sgoals.

The HR & Administrative Officer will work under the supervision of the Programme Management Officer and the senior management team.


Essential Qualifications


  • Open to Indian citizensonly;

  • Bachelor’s / Master’s degree in commerce, business management / relevant areas;

  • A minimum of five (5) years of relevant work experience, preferably in the legal or development sector;

  • Good knowledge of MS excel, word, powerpoint and outlook;

  • Self-starter with ability to work independently with minimum supervision; high standards of professionalism including being detail-oriented, meticulous and organised;

  • Effective team player with strong leadership skills andinitiatives;

  • Strong sense of personal integrity and understanding of confidentiality and ethics;

  • Ability to work in a multi-cultural environment and travel as required to different field sites;

  • Ability to multitask, prioritise and manage time efficiently and deliver work as per deadlines;

  • Excellent interpersonal, oral, and written communicationskills in English and Hindi;

  • Attention to detail.



Remuneration will be offered at industry standards and will be commensurate with relevant qualification and experience.
