About the Organization:

They join forces with governments, private agencies and, most importantly, rural communities themselves to co-create digital solutions that are of the community and for the community. 

Responsibilities:

Overall Operations & Systems Management:

  • Oversight of and daily support (for India team) for all cloud-based / IT systems and internal processes

  • Able to identify and suggest opportunities for additional training, clarity, and system improvement so that we’re using systems effectively

  • For prospective systems and process, serves as India lead for identifying and researching specific needs and requirements

Procurement

  • Procurement Expert & Resource: Serve as procurement lead and main resource for staff, providing guidance and problem-solving support for staff as needed.

  • Procurement Documentation and System Management: Maintaining up to date records in Box as advised. Keep the system (ERP) updated with the additions and deletions as may be required

Travel and Event Management: (post covid)

  • Travel agent / vendor management: Negotiate rates for car hire, courier and hotels on a yearly basis.

  • Facilitate travel arrangements for all staff, consultants and visitors, in accordance with travel policy and with attention to cost saving measures.

  • Event Coordination: Make logistical arrangements for DG meetings/workshops (venue, catering, audio-visual, transportation, lodging for participants, reimbursements etc)

Timesheeting Management System:

  • Keep the system updated with the additions and deletions as may be required

  • Trouble shooting issues that staff may be facing in operating the system

  • Review and Generate monthly reports for finance

IT Management

  • Manage India-based IT consultant to ensure updates are made and issues are addressed in a timely manner.

  • Track India workstations; and manage inventory, anti-virus installation, and disposal

Knowledge management and Project Documentation:

  • Champion knowledge management and better documentation at DG, leading communication and training to reinforce desired practices and improve knowledge sharing across the organization

  • Identify knowledge resources that are not being systematically collected or shared, and propose ideas to improve

Qualifications and Skills:

  • Minimum Graduation Degree with additional qualifications in IT

  • 5 -10 years of relevant work experience in Non for-profit sector preferably in diverse environment including different time zones, culture and backgrounds

  • Must have up-to-date knowledge of the latest IT and software trends.

  • Ability to prioritise, proactively look for alternatives and provide solutions to the stakeholders for timely execution of programs

  • Good judgment and analytical skills

  • Excellent communication skills in English & Hindi, both verbal and written

  • Prior experience of using and handling Box or similar file-sharing platform

  • Strong Customer Service ethos

  • Good typing and English writing skills

  • Experience introducing a new system / technology will be an advantage”
